How we collect, use, share, and protect the information you give us.

Effective September 24, 2026 · Last updated October 19, 2026

Who we are

Bell, Spoonamore & Wendt, PLLC is an accounting firm registered with the Tennessee State Board of Accountancy, located at 138 Center Pointe Dr, Unit D, Clarksville, TN 37040. In this policy, "we," "us," and "our" mean the firm, and "you" means a visitor to bswpllc.com or a prospective or current client.

This policy covers personal information we collect through this website and when you contact us. If you become a client, your engagement letter also governs how we handle your information. Clients who obtain services for personal, family, or household purposes also receive the separate privacy notice required by the Gramm-Leach-Bliley Act. If that notice and this policy differ, the notice controls for the information it covers.

Information you give us

Most of what we collect is information you choose to send us:

  • Contact form. Your first and last name, email address, and message, and, if you provide them, your phone number, business or property entity, and the service you are asking about.
  • Cost segregation intake form. Your name, email address, and, if you provide them, phone number and mailing address; the entity that owns the property and how it is taxed; and the property details you enter: address, type, date acquired, date placed in service, purchase price or project cost, improvements, whether a prior study was done, and any notes you add.
  • Newsletter signup. Your first and last name, email address, the description you select, and your consent to receive The BSW Brief.
  • New course notices. Your first and last name, email address, and your consent to receive notices. Our courses themselves can be read without signing up.
  • Email and the client portal. The information in any message or document you send us.
  • Client engagements. If you become a client, the financial and tax information needed to perform the work described in your engagement letter.

Information collected automatically

This site uses Cloudflare Web Analytics, a privacy-focused analytics tool that measures aggregate visits and page views without cookies, without tracking you individually across websites, and without collecting personally identifiable information. It is not an advertising network and does not use tracking pixels. Like most websites, the service that hosts this site may also automatically record technical information when you visit, such as your IP address, browser type, and the pages requested, to deliver the site and keep it secure.

The map on our Contact page is provided by Google. When that page loads, Google may receive your IP address and information about your browser and may set its own cookies, under Google's privacy policy. Links to our client portal, to Google Maps directions, and to our LinkedIn, Instagram, and Facebook pages take you to sites operated by others, which have their own privacy practices.

Do Not Track. Some browsers can send a "Do Not Track" signal. Because this site does not track visitors across other websites, it does not respond differently to that signal. Third parties whose content appears on this site, such as the embedded map, may collect information about your online activity over time and across different websites under their own policies.

How we use it

We use personal information to respond to your inquiry; to evaluate and provide the services you ask for; to send The BSW Brief or course notices you requested; to operate and secure this website; and to meet our legal and professional obligations.

How we share it

We do not sell, rent, or trade personal information, and we do not share it for anyone else's marketing. We share it only:

  • With service providers that help us run the firm, such as the service that delivers website form submissions to us, our email provider, our client portal provider, our website host, and our accounting and tax software providers. They may use the information only to provide their services to us.
  • When the law requires it, such as in response to a subpoena or court order, or a request from a taxing authority or professional regulator such as the Tennessee State Board of Accountancy.
  • To protect the rights, property, or safety of our clients, the firm, or others, where the law permits.
  • With your consent, or as otherwise permitted by law.

Tax return information

Information you give us to prepare a tax return is also protected by Internal Revenue Code section 7216 and its regulations. We use and disclose that information only as those rules allow, and before any use or disclosure that requires your consent, we will ask for your written consent in the form the regulations require.

Email you receive from us

The BSW Brief and our course notices include our physical mailing address and a way to unsubscribe. We honor unsubscribe requests within 10 business days, as the CAN-SPAM Act requires. Unsubscribing stops those messages. It does not stop email about work we are performing for you.

How we protect it

We use administrative, technical, and physical safeguards designed to protect personal information, including an encrypted client portal, protected by multi-factor authentication, for exchanging documents. We maintain a written information security plan, as the FTC Safeguards Rule requires of tax professionals, and we review it at least annually. No method of transmitting or storing information is completely secure, so we cannot guarantee absolute security. If a security incident involving your personal information occurs, we will notify you and the appropriate authorities as the law requires.

Please do not send Social Security numbers, account numbers, dates of birth, or other sensitive information through the forms on this site or by ordinary email. Use the secure client portal.

How long we keep it

  • Client records. Seven years after the engagement ends, or longer if the law, professional standards, or a pending matter requires it.
  • Inquiries and intake forms that do not lead to an engagement. Deleted within one year.
  • Newsletter and course notice lists. Until you unsubscribe.

Your choices

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete information we are not required to keep. We may need to verify your identity before acting on a request, and we will keep information the law or professional standards require us to retain. Write to us using the contact details below, and we will respond within 30 days.

Children

This site is intended for adults and businesses. We do not knowingly collect personal information online from children under 13. If you believe a child has sent us information through this site, contact us and we will delete it. Information about dependents that a client provides for an engagement is handled as client information under this policy.

Changes to this policy

We may update this policy from time to time. When we do, we will post the revised version on this page and change the date at the top. If we make a material change to how we use information we already hold, we will give notice before the change takes effect.
